During the IQusion Days event, IQusion IT LLC (iQusion IT) demonstrated the possibilities of applying artificial intelligence in corporate business process management systems. The presentation showcased new features of the Scriptum system, which allow integrating AI tools into specific stages of business processes, automating routine operations, and increasing enterprise efficiency.
The key theme of the presentation was the transition from using artificial intelligence as a separate auxiliary tool to its direct integration into corporate information systems. This approach allows leveraging AI capabilities where they create the most practical value while maintaining full control over business process execution.
From automating individual operations to intelligent process management
Modern business process management (BPM) systems ensure the formalization of procedures, task routing, deadline control, and interaction between enterprise departments. The integration of artificial intelligence expands these capabilities through automated information analysis, document processing, and recommendation preparation.
During the Scriptum demonstration, an approach was presented where AI tools are applied at specific stages of the business process without disrupting its overall logic.
For example, when processing an incoming document, artificial intelligence can recognize its content, determine the category of the request, extract key details, and suggest a responsible executor. At the same time, the decision to approve the document, make a payment, or conclude an agreement remains with the authorized employee.
A similar approach can be applied in procurement, human resources management, customer service, contract work, and internal document flow.
The main advantage of this model is that the enterprise gains intelligent automation capabilities without needing to transfer full control of critical operations to artificial intelligence.
What controlled AI implementation provides
Proper integration of artificial intelligence into corporate systems allows enterprises to gain a number of practical advantages.
Primarily, this includes reducing the time for repetitive operations, decreasing manual data entry, accelerating document processing, and increasing information accessibility for management decision-making.
AI is capable of analyzing large volumes of unstructured information, preparing concise document summaries, identifying discrepancies, and suggesting further steps according to established rules.
Implementation at the level of individual stages allows for evaluating the effectiveness of the technology based on specific metrics: processing time per request, number of corrections, personnel workload, and operational cost.
This enables the enterprise to gradually expand AI usage based on practical testing results rather than expectations of the technology.
Why artificial intelligence powers need limitations
Along with new prospects, AI implementation creates additional risks, especially if the system is granted the authority to independently make and execute decisions that have legal, financial, or organizational consequences.
Even modern language models can generate inaccurate information, incorrectly interpret context, or draw erroneous conclusions based on incomplete data. In a corporate environment, the consequences of such miscalculations can include incorrect payments, breaches of contractual obligations, disclosure of confidential information, or flawed decisions regarding clients and employees.
A particular threat is posed by granting AI agents excessive access rights to corporate systems. If an intelligent agent can not only analyze information but also independently modify records, delete documents, approve operations, or initiate payments, an error or malicious manipulation can lead to significantly more serious consequences.
Therefore, one of the fundamental implementation principles must be the separation of powers: artificial intelligence performs clearly defined functions, and critical decisions undergo established verification and approval procedures.
"We see great potential for artificial intelligence precisely in its integration with corporate business processes. However, the effectiveness of automation should not be measured by the number of decisions a company transfers to an algorithm. It is much more important to correctly determine where AI can assist a person and where mandatory control must be maintained. In business process management systems, this is particularly crucial, as each action can be part of a complex chain of legal, financial, and managerial decisions," noted Serhii Balashuk, Director of IQusion IT LLC.
European AI Act: new requirements for responsible artificial intelligence use
The issue of controlled AI implementation is of particular importance in the context of European regulation.
The European Union's Artificial Intelligence Act (AI Act, Regulation (EU) 2024/1689) introduces a risk-based approach to the development and use of AI systems. The scope of obligations depends on the technology's purpose, the nature of its application, and the risks to people's rights and safety.
For systems classified as high-risk, the legislation mandates requirements for risk management, data quality, technical documentation, event logging, transparency, human oversight, accuracy, reliability, and cybersecurity.
The principle of human oversight is of particular importance. It stipulates that high-risk AI systems must be designed so that authorized individuals can properly monitor their operation, understand limitations, evaluate results, and, if necessary, intervene in the system's operation or stop it.
At the same time, the AI Act does not establish a general ban on autonomous AI actions nor does it require human approval for every operation. Specific requirements are determined by the risk category and the organization's role in the system's application.
For companies operating in European markets, this means the necessity to consider regulatory requirements already at the design stage of digital solutions. Furthermore, the use of AI in HR procedures, employee evaluations, or other sensitive areas requires particularly careful legal assessment.
Scriptum for phased implementation of intelligent automation
The approach to using AI in the Scriptum system, demonstrated during the presentation, involves integrating intelligent functions into managed business processes with clearly defined execution rules and responsibility distribution.
This allows corporate clients to start with individual tasks—document analysis, request classification, information retrieval, or drafting decision proposals—and gradually move to more complex automation scenarios.
According to IQusion IT LLC specialists, the combination of artificial intelligence's technological capabilities with formalized business processes, controlled access rights, and human oversight can form the basis for secure digital transformation of enterprises.
